Flight Case Export: Customs, Duties, and the Docs That Clear Your Gear
A rental house in Miami shipped a pallet of used flight cases to a client in Germany. The commercial invoice said “used road cases, value $200.” German customs assessed them as “used aluminum boxes, commercial value $1,200,” applied 6.5% duty plus 19% import VAT, and held the shipment for 11 days. The total: $480 in unexpected charges plus a delayed delivery to the client. The mistake was under-declaring value and using a vague product description. Customs doesn’t negotiate—it assesses its own value and fines you for misclassification.
Shipping cases internationally isn’t complicated if you get the paperwork right. It’s a disaster if you don’t.
The Documents You Actually Need
| Document | Who Issues It | Purpose | Common Mistake |
|---|---|---|---|
| Commercial Invoice | Exporter | Value, description, HS code | Vague description (“aluminum boxes”) instead of “custom flight cases for audio equipment” |
| Packing List | Exporter | Weight, dimensions, piece count | Doesn’t match the invoice—customs flags mismatch |
| HS Code | Exporter (verify with broker) | Duty rate classification | Using the wrong code (8304 vs. 4202) changes duty by 10% |
| Certificate of Origin | Chamber of Commerce | Trade agreement eligibility | Required for EU, LATAM, ASEAN; skipped = standard duty |
| Bill of Lading / AWB | Carrier | Contract of carriage | Consignee details must match the importer’s EORI/VAT number |
Duties and Taxes: What to Expect
| Destination | Typical Duty Rate | Import VAT / GST | De Minimis (no tax under) |
|---|---|---|---|
| United States | 0–3.9% (HS 4202) | None (federal) | $800 |
| European Union | 2.7–4.7% (HS 4202) | 19–27% (varies by country) | €150 |
| United Kingdom | 2.7–4.7% | 20% VAT | £135 |
| Australia | 0–5% | 10% GST | AUD 1,000 |
| Canada | 0–8% | 5% GST + provincial | CAD 20 |
The de minimis threshold matters. Shipments below the threshold enter duty-free. Splitting a pallet to stay under €150 for the EU is a legitimate cost-saving strategy—if the client can receive multiple drops.
Incoterms: Who Pays for What
The three terms you’ll actually use as a case buyer:
- EXW (Ex Works)—you pick up at our Changzhou factory and handle everything. Cheapest up front, most work for you.
- FOB (Free On Board)—we deliver to Shanghai/Ningbo port and load on your carrier. Standard for most B2B orders.
- DDP (Delivered Duty Paid)—we handle door-to-door including duties and taxes. Easiest for you, but you pay a premium for the broker service.
Most B2B case orders go FOB. If you’re a touring company shipping replacement cases to a venue, DDP avoids customs surprises on tour—worth the 15–20% premium.
What to Spec on Your Order
- “Commercial invoice: detailed description with HS code, not ‘aluminum boxes'”
- “Declare accurate value—under-declaration costs more than the duty you save”
- “Confirm Incoterms in writing: EXW, FOB, or DDP”
- “For EU/UK: provide importer’s EORI/VAT number before shipping”
- “Ask for Certificate of Origin if your country has a trade agreement with China”
International shipping isn’t the hard part. The hard part is the paperwork that clears customs on the first try. Get it right and your cases arrive in 3–5 days by air, 25–35 days by sea. Get it wrong and they sit in a warehouse while your client waits.
